How We Planned a Luxury Proposal at Cliveden House in Just Five Days

Five working days. That’s how long we had to plan a proposal at Cliveden House and if you’d asked me on day one whether it was possible, I’d have said yes and then quietly panicked in the car park.

That’s the honest answer, anyway.

Marios got in touch wanting to propose to Kasia-Jai somewhere that matched how he felt about her elegant, romantic, a little grand, completely unhurried, even though there was nothing unhurried about the timeline. Cliveden House does that to people. It’s one of my favourite venues to work with in Berkshire, all sweeping terraces and gardens that make you forget you’re forty minutes from London and the second Marios described what he wanted, I knew exactly where in the grounds it needed to happen.

The trouble was fitting weeks of planning into five days.

I won’t pretend that’s normal. Most luxury proposals I plan take months, sometimes the best part of a year, and there’s a reason for that you’re not just booking a venue, you’re coordinating a dozen different people so that none of them are ever visible to the two who matter. But every so often romance doesn’t wait for a sensible timeline and this is exactly where twelve years of relationships with the right venues and suppliers earns its keep. I know who to call. I know who’ll answer on a Sunday. That’s really the whole job, when you strip it back.

I’ll say this too, because I always do when a story like this one goes out: five days is not the timeline I’d recommend to anyone reading this and starting to plan their own proposal. Ideally we like four to eight weeks, because that’s what gives us the best chance of securing the exclusive venues and the best suppliers you actually want, rather than whoever happens to be free. Marios and Kasia-Jai are the exception that makes for a good story, not the rule although if you are working to something tighter, do still get in touch. We’ll always tell you honestly what’s possible.

Within those five days we had Cliveden secured, the styling designed, the hotel coordinated, a photographer and videographer booked, live music arranged, a cake ordered and a private dinner planned in the Tote Room on top of managing every single timing on the day itself. Written down like that it sounds faintly ridiculous. It’s also exactly the kind of week I find myself enjoying most, even while I’m living on coffee and lists.

Then the weather decided to get involved.

It was one of the hottest days of the year, the kind where the tarmac shimmers and my styling team were carrying lanterns, candles and armfuls of florals across the Cliveden terrace in full sun while everyone else with any sense was in the shade. Every proposal throws you something  usually rain, sometimes wind and this time it was heat that nearly beat us. But there’s a particular moment, standing on that terrace once everything is finally in place and the Berkshire countryside is stretching out below you, when you forget you’re sweating through your shirt. It was worth every second of it. White and green, hundreds of petals, lanterns catching the last of the sun exactly what we’d pictured.

And then there was Aston.

Aston is Marios and Kasia-Jai’s Chow Chow and he was very much a guest of honour, wandering happily through the styling while we finished setting everything up. I’ll be honest, he stole a fair amount of the attention that afternoon and I loved every second of it. This is one of the things people don’t always realise about proposal planning so much of what makes a moment feel like theirs, rather than a beautiful template, comes down to the small, specific details. A dog who gets to be there. A song that means something. It’s never really about the flowers.

Which brings me to Andre.

As Kasia-Jai walked out onto the terrace, our saxophonist Andre Saxman began to play. There’s something about live music that changes the air in a place, instantly, and you can feel a proposal tip over from “beautiful moment” into something closer to a memory being made in real time. Our photographer Lina and videographer Tom were tucked away quietly catching all of it every glance, the moment his hand started shaking, the bit right after she said yes when neither of them could speak. Clients tell me this all the time afterwards: they were so far inside the moment that they missed half of it themselves, which is exactly why having someone documenting it properly matters as much as the decoration does.

I always encourage couples to think past the proposal itself because the best ones don’t stop at “yes.” For Marios and Kasia-Jai, the yes was really just the start of the afternoon champagne, a “Marry Me?” cake and then into the Tote Room for a private dinner overlooking the gardens as the light changed. It wasn’t one perfect five-minute moment. It was a whole day built around them.

People often ask me what they’re actually paying for when they book a proposal planner and I understand the question from the outside it can look like flowers and candles and a nice hotel. What they’re really paying for is everything they never have to think about. Knowing the musician is already in position before anyone arrives. Knowing the photographer has scouted the light. Knowing the hotel understands the timings down to the minute, the cake will turn up exactly when it should and if something goes sideways behind the scenes, somebody is already quietly fixing it before the couple ever notice. That’s what lets two people just be present for one of the biggest moments of their lives, instead of managing it.

By the end of that evening, five very full days of planning had come together into something incredibly special. Not just because the styling looked beautiful or because everything had gone exactly as we had hoped but because Marios had asked Kasia-Jai to marry him and another couple were beginning the next chapter of their lives together.

That feeling never gets old. It’s the reason I started The One Romance more than ten years ago and it’s still the bit I love most.

It gives us the best chance of securing the exclusive venues and suppliers that make the day feel right, rather than settling for whoever’s available.
